Your Email Health is Critical.

Read on: My website

The 4 words you never want to hear (or say) are: “Check Your Spam Folder.”

Well…there are many other 4 word combinations out there, but let’s just stick with emails for now.

Emails are critical for communication with your existing customers, and building relationships with new customers, and so on.

You also don’t want to have that critical email specifying a key update to a opportunity be lost in the junk that could affect your proposal submission do you? There are endless other reasons on why we need our emails operating 100% efficient and effective all the time.

You don’t want to get later into the year and figure out that you engagement rate through email is significantly down because all your emails that you sent are going to Spam. All that work you spent reaching out, all those Leads, semi-warm leads, warm, and HOT leads never actually went anywhere.

Fix the problem now. It only takes a few minutes.

I always tell people, Google is your best friend. And if you don’t treat them like your best friend, they can, and will, make sales enablement and sales outreach very, very difficult.

Why Should I Care?

On February 1st, 2024, Google and Yahoo are releasing updated email spam guidelines. You need to make sure you’re on the right side of the spam guidelines.

You might think that this is not a sales activity, well…it very much is. If you can’t get ahold of your customer, information is not going through, etc. Control the things that you can control. Especially if you are sending bulk emails.

Sales and Marketing Teams work together.

And, it’s all in your control to fix.

What Do I Do?

This is all about email validation. So if you have an IT department, specifically ask them to check the validation of your email and ask if your DNS, DKIM, and SPF records are validated. Your IT team if your best friend here and they might already be on top of it, but just for (sanity) purposes, just double check.

A 15 Minute Exercise

A quick and easy, this is my recommendation to make sure you don’t get into the Spam Folder going forward. This is not just for what you personally send out, but also for your company as well.

Check Your Email Validation (see above). If you’re good to go. No further steps needed to take on your end

Company Checks

Check with Your Marketing Team – Make sure that they are on top of these specific items. If you are going to a conference/event/hosting a webinar, you want to make sure any leads that result from these events land right in their inbox, and then ultimately your CRM.

Break Your Newsletter Down. Have a generic list? Tag, break it into smaller, more targeted lists. Think of who is actually on there. If you have one list, make 3. If you have 3 lists, make 5. Get more specific and targeted to your overall customer.

Clean Your Target Email Lists. Review your emails to check which are valid, which are not. Only send emails that have verified emails.

Still Lost/Not Tech Savvy?

If the step by step doesn’t work, you can go to Fiverr.com or Upwork.com and search for “Email Validation.” You can find many experts that can do this quickly for you, and look at their reviews.

Apollo has a great overview on this so you can avoid the Spam Folder. Check it out here.

At the end of the day it’s about having smarter touches with your customer and keeping you out of spam. Be personal, be engaging, and don’t be lazy.

Don’t let these new guidelines catch you off guard. Take action now and stay ahead of the game.

Remember, your emails are just one avenue of how to reach your customers, make sure they, actually reach your customer.
